Introduction
Psychoanalysts Database System (PaDS) is a database system used by the International Journal of Psychoanalysis (IJP) and Psychoanalytic Electronic Publishing (PEP). It creates a convenient single log-in for subscribers and a way to check and update subscriber data and renewals. It allows a number of cost savings that keep administration and subscription cost to IJP and PEP down. (IJP is wholly owned by the Institute of Psychoanalysis in London and PEP is a Not-for-Profit 501C-3 public charity registered in the State of Delaware and a joint venture between the Institute and the American Psychoanalytic Association since 1995.)
IJP and PEP take privacy issues seriously and are committed to protecting information about their customers. This policy explains what information PaDS holds about you as a PEP customer, how that information is used, to whom it is disclosed, and how it is stored and protected.
PaDS is hosted on Amazon Web Services. PaDS information is processed by IJP and PEP staff (known as “PaDS users”).
The General Data Protection Regulation (GDPR)
In order to have access to PEP-Web, receive special offers, or to keep subscription rights, PEP and IJP use the PaDS system to maintain records of subscribers and/or affiliated groups (hereafter called “subscribers”).
Under European legislation, the General Data Protection Regulation (GDPR) lays down rules for the handling of personal data. This includes addresses, phone numbers and email addresses attached to subscribers’ names. Although this is European legislation, it applies to anyone doing business in Europe, and so in effect is being adopted world-wide.
GDPR applies to PEP and IJP, as we hold subscribers’ personal information and subscription history. Please note the following:
- We use the PaDS database system to keep subscribers’ personal data. This includes names, usernames, password, billing and/or postal addresses, email addresses, details of past and present subscriptions, and any groups through which subscription was made. This data is necessary for the service PEP and IJP provide.
- Our overall policy is to collect the minimum personal data that we need to provide you with access to PEP-Web and/or to administer your IJP Subscription, and to keep you updated. In addition to personal data, PEP keeps a record when you make a login, to prevent fraud.
- We obtained your information either because you submitted it whilst ordering a PEP or IJP product, or because the organisation/group to which you belong subscribed you to a product, and in doing so have given us your personal data as part of a group subscription arrangement.
- We take stringent measures to protect all your information. Your access codes are encrypted, and when communicating with your group (if relevant) the lists of subscribers we send back and forth are also encrypted.
- Any personal data we hold is encrypted once entered into our PaDS database system, where it is stored with past information we have about your subscriptions and/or purchases. We do not keep credit card information after payment is made. If your organisation collects your information, they will transfer it to us in encrypted fashion.
- We’re always happy for you to check the data we have about you, using our automated system. You can check, correct or delete your data by logging in to your account on PaDS with your username and password. You have the right to have your data deleted. If you do this however, you will no longer be able to log in.
- We use your information in connection with the PEP-Web service, and/or to fulfil your IJP subscription. This allows you to log on and view PEP-Web, or to receive journals. We also use your information to contact you when your subscription needs renewal, or when we have significant news about PEP-Web or IJP. We will never sell your data.
- All our communications from 2019 will ask you if you want to continue receiving PEP news or communications from IJP, as appropriate. Every couple of years we’ll also

PEP uses these details for PEP order maintenance, renewals, and the communication of news about PEP.
To whom is my contact information disclosed?
Your contact details will be known to all PaDS users. This is a condition of ordering products from PEP. One advantage to you is that an update of your address by one organization allows an update for another. Your details will not be passed on to non-PaDS users. If you are an IJP subscriber, IJP publishers will be given your contact details in order to mail your journals and verify your subscription.
How secure is my information?
PaDS users will ensure that your personal information is stored securely, using sufficient and up-to-date protection measures.
How can I see what information you hold about me?
You can see exactly what personal data we hold by logging in to your account on the PaDS website here. You can update your contact details and if necessary, your username and password.
